Blog post #3: Enhancing School Leadership Productivity: Comparing ClickUp and Airtable for Planning a PD Day

 



As a high school principal, organizing a professional development (PD) day involves complex logistics, including scheduling sessions, assigning rooms, coordinating speakers, and communicating updates efficiently. With limited time and growing responsibilities, productivity tools are no longer optional—they’re essential. This blog explores how two specialized platforms, ClickUp and Airtable, can support task management and scheduling, using a real professional development (PD) day as a case study.

The Task:

To create a full-day PD schedule for teachers, including:
  • Session titles and times
  • Room assignments
  • Presenters/facilitators
  • Topic categories (SEL, Instructional Tech, DEI)
The exercise was first completed manually, then repeated using ClickUp, and again using Airtable.

Tool Overviews

  • ClickUp is known for its hierarchical project structure, which includes spaces, folders, lists, and tasks. It allows for visual planning using lists, calendars, and Gantt charts.


  • Airtable: Blending spreadsheet functionality with relational database power, Airtable allows for custom views like grids, calendars, and Kanban boards—ideal for interactive schedules.





Testing Strategy & Metrics

Each method was timed and measured based on:

  • Time taken to complete

  • 🖱 Approximate number of clicks

  • 🌟 Perceived output quality (rated 1–5 stars)

  • 📸 Screenshots captured throughout (see below)



Manual Method

Time: 2 hours
Clicks: N/A
Quality: ⭐⭐☆☆☆ (2/5)
This process required listing everything in Google Docs and cross-referencing emails and calendars. The final version lacked clarity and required extra effort to share updates.



ClickUp Method

Time: 1 hour 15 minutes
Clicks: ~90
Quality: ⭐⭐⭐⭐☆ (4/5)
Creating nested tasks for each session and organizing them by time block helped visualize the day. The learning curve and complexity made the setup slower initially.


                            


Airtable Method

Time: 45 minutes
Clicks: ~65
Quality: ⭐⭐⭐⭐⭐ (5/5)
Using Airtable's calendar and linked tables, I could quickly group sessions, view speaker assignments, and filter by room or topic. Sharing the view with staff was seamless.


Studies show that productivity tools significantly reduce cognitive load for administrators by enabling structured planning (Davis, 2019; Smith, 2021). Compared to manual planning, both ClickUp and Airtable improved efficiency. However, Airtable’s intuitive layout and relational features made it a more effective tool for this particular task.

ClickUp is best suited for multi-week planning and ongoing task management, while Airtable excels in visualizing and organizing one-day events with multiple variables.

For school leaders juggling event planning, Airtable offers a quicker setup and better sharing experience. While ClickUp provides powerful task tracking, Airtable’s flexibility and clean interface make it a stronger choice for organizing professional development (PD) schedules and similar educational logistics.
